To maintain and share a professional and consistent email signature across the enterprise, an email signature generator has been developed for your use. The official email signature follows current best practices, including not adding graphics, as these appear to smartphone users as attachments that must be downloaded.

Your signature

You MAY:

  • Add your graduation year after your name (e.g., ’92; note the tail of the apostrophe points to the missing numbers).
  • Add any certifications or advanced degrees you hold (e.g., PhD) if you choose.
  • List your preferred pronouns (use the additional title feature) if you choose.
  • Include the ASU Land Acknowledgement: We acknowledge that Arizona State University is built on the ancestral homelands of Indigenous communities who have inhabited this land for centuries, including the Akimel O’odham (Pima) and Pee Posh (Maricopa) peoples.
  • Include a confidentiality statement: CAUTION: This message may contain confidential and/or privileged communication. Please do not forward without prior permission of sender.

  • Add quotes, personal information (e.g., social media), images or other information.

To create the signature block for both your computer and mobile device follow these instructions:

  1. Click "Copy your signature."
  2. Go to Office 365 Outlook (web version).
  3. Click the Settings gear icon in the ribbon on the upper right side of the screen.
  4. Click “Mail,” then “Compose and Reply.”
  5. Paste the signature block suing control-V (any other pasting options may result in lost formatting) that was created using the Email Signature Generator in the signature box.
  6. Add a name for the new signature and then click “Save.”
  7. Under “Select default signatures” select the newly created signature for both new messages and for replies/forwards.
  8. Open a new email to see your new signature. This will create a signature for emails generated on your computer and mobile device.
