ASU EP Email Signature Generator

To maintain and share a professional and consistent email signature across the enterprise, an email signature generator has been developed for your use. The official email signature follows current best practices, including not adding graphics, as these appear to smartphone users as attachments that must be downloaded.

Please be mindful of keeping your email signature concise. It is the responsibility of the employee to ensure signature content meets the standards of ASU Enterprise Partners, as well as their unit or team. Please consult your manager for any other additions beyond those listed below.

Your signature

You MAY:

  • Add your graduation year after your name (e.g., ’92; note the tail of the apostrophe points to the missing numbers).
  • Add any certifications or advanced degrees you hold (e.g., PhD) if you choose.
  • List your preferred pronouns (use the additional title feature) if you choose.
  • Include the ASU Land Acknowledgement: We acknowledge that Arizona State University is built on the ancestral homelands of Indigenous communities who have inhabited this land for centuries, including the Akimel O’odham (Pima) and Pee Posh (Maricopa) peoples.
  • Include a confidentiality statement: CAUTION: This message may contain confidential and/or privileged communication. Please do not forward without prior permission of sender.

  • Add quotes, personal information (e.g., social media), images or other information.

To create the signature block on your computer follow these instructions ▼

  1. Click "Copy your signature."
  2. On the main Outlook toolbar, go to the 'File' menu and select 'Options.'
  3. Choose the ‘Mail’ tab and click the ‘Signatures’ button.
  4. If there is an item in the 'Select Signature to Edit' box, select it and then click 'Delete'.
  5. In the ‘edit signature’ box, 'paste' the new signature block using Control-V (any other pasting options may result in lost formatting).
  6. Click 'OK'.
    • In some versions of outlook, under 'Choose Default Signature' select the newly created signature for new emails.
  7. Open a new email to see your new signature!

To create the signature block on your mobile device follow these instructions ▼

  1. Go to Office 365 Outlook web version (https://outlook.office365.com/owa/).
  2. Click settings (gear icon). Look all the way down under the Your App Settings section and click ‘Mail’
  3. Under the Layout section, click ‘Email signature’.
  4. Copy your formatted signature from Outlook and paste into the signature block.
  5. Click ‘Save’
